What is personal data?

Purpose of processing personal data

 

Personal data is any information and assessments that can be linked to you as an individual. Typical personal data include name, address, phone number, email, and national identification number. Certain identification numbers are also considered personal data by law, such as IP address, customer number, cookie ID/online identifier (anonymised). We process personal data for the following purposes:

  • Handling incoming enquiries and providing sales support: To register you for courses and training, send course materials, diplomas, and invoices.
  • Providing customer service and fulfilling agreements: To send you newsletters, journals, and information about upcoming seminars, conferences, and courses.
  • Distribution of newsletters and other marketing/information: To manage payments and invoices.

Additionally, we will ask for your consent to track user behaviour on the website, to continuously optimise content and user journeys. We also ask for consent to carry out possible marketing activities.

Website visits

The website uses various technologies to continuously improve the user experience. These include Google Analytics and Leadfeeder, which help us analyse traffic, identify which companies visit the website, and general usage.

Our legal basis is the consent given in Cookie Information.

Storage and security

 

Personal data are stored as long as necessary for the purposes for which they were collected, or as required by law. We use technical and organisational measures to protect your personal data against unauthorised access, alteration, or deletion.

Our web solution is provided by our partner BDO AS. Data about you as a user is stored on servers at BDO’s subcontractor, DigitalOcean, located physically within the EU/EEA.

Our partner BDO AS uses subcontractors for data storage and underlying technical solutions for handling digital communication and user authentication. Information about these can be obtained by contacting the solution managers at BDO AS at websupportdrammen@bdo.no.

BDO AS, under a data processing agreement with us, processes your personal data as we determine. We require the data processor to ensure adequate information security, including that personal data cannot be transferred to others.

 

 

 

Who has access to personal data?

 

Personal data is shared internally within W5 only with employees who need access to perform their tasks. We do not share personal data with third parties without your consent, unless required by law.

Additionally, technical system administrators at our partner (BDO AS) have access to the solution and, as a result, to personal data stored there.

We neither sell nor rent information you provide to third parties.

What rights do you have?

 

  • Access
    You have the right to information about what personal data we process and how. Send an email to norway@w5solutions.com to request access.
  • Rectification
    You can request that we correct incorrect or incomplete information. Send an email to norway@w5solutions.com with details of what should be corrected.
  • Deletion
    You can also request the deletion of your personal data. Send an email to norway@w5solutions.com. Note that in some cases we must retain information in accordance with legal requirements (e.g., accounting and bookkeeping obligations).
 

Anonymised data (which cannot be linked to you as an individual and is therefore no longer personal data) may be retained for statistical purposes.

Newsletter

We use MailChimp as a data processor for sending newsletters. You can unsubscribe from newsletters at any time. Your email address will also be deleted. It is possible to subscribe to our newsletter in various places on our website, and we only use your email address to distribute the newsletters. You can also unsubscribe via a link at the bottom of all newsletters.

We use Jira Service Management from Atlassian as a case management tool for our customer service for existing customers. The purpose is to handle incoming cases quickly and process them systematically and properly.

  • Facebook Pixel

  • Leadfeeder Tracker (Dealfront)
    Used to identify which companies visit the website, based on anonymised IP addresses and publicly available company information. The tool records pages visited, traffic sources, and general usage statistics, but does not collect personal data about individuals.
